Planning a Team Event

The process is easier than you think.  We have a lot of experience working with executive assistants, managers, coordinators and human resources on these type of events – good news – you are in great hands.  

We care about the details, execution and the group’s experience, as much as you do.  Below we have provided a full overview of costs, shipping, deadlines and more. 

We start our overview with an explanation of your responsibilities and ours.

Your Responsibilities

Once you select your paint and sip kit, there are only 3 simple steps for you to plan and execute a team paint class. Coordinate the details with the team and we help with the rest.

Our Job & Responsibilities

We are focused to support you with all stages of the event: planning, executing, educating and entertaining.  Our goals is to meet and exceed your expectations from planning to the paint team building experience.

  1. Selecting a day and time that works best for the team.  Planners typically send a save the date and put the event on their calendar to hold their time, once it is confirmed.  Easy peasy.  Finding a day and time that works for everyone is the hardest part… but you that is where you excel.  Work your magic.  We will be flexible on start times to help find the best spot. 

    The duration of our classes is typically 1.5 hours.  You can hold a 1 hr, 1.5 or 2 hour spot. 

  2. Collecting the addresses for the team.  You may already have access to this data through an internal system or have a contact with HR.  If you need our assistance to collect info, via Google Form, we are happy to help you. 

  3. Selecting a Painting – a few options to consider: 
    1. Share the link we provide with the class, where they can browse 1000’s of inspiration and pick one they like
    2. Event planners have also taken 3-4 and let the team voted
    3. If you need a recommendation or help from us, please let us know. 

That’s it – believe it or not – we handle the rest.  We have hosted 100’s of classes and are here to make your life easy.  We believe in excellent communication, prompt replies and clarify to support your needs. 

P.S. We are planners too and appreciate our duck in a row – just like you. 

  1. We reserve the day and time that works best for your team.  The best part is we can hold it for you before you have a total head count.  It is important to get that reserve on our end to lock it in. 

  2. Once we receive the addresses, we will pack and ship kits immediately.  We will share a timeline on this page on ideally when addresses are due, how far in advance of the paint class.  The process and timeline are laid out for transparency, as well as estimated shipping time.  Our goal is for the paint kits to arrive 3-5 days in advance of the class. 

  3. Determine the painting inspiration for the class.  Note: you do not have to select the inspiration before the kits are sent.  If you do select an inspiration, I will include a printed inspiration in the paint kits, as a visual reference.  If you don’t decided in time, it’s okay.  We can easily give your group more time to make a decision and we can share a digital file at the beginning of the class for reference. 

  4. We partner on the virtual connect details for the party.  If there is a provider you use in house, feel free to create a link and share that with us. We do have a corporate Zoom account and can easily create a meeting link to share, if needed. 

  5. Day of the event – we arrive 15 minutes early to welcome participants as they join and support technical testing.  We encourage all participants to have their video on and ready to go. 

  6. As we kick off the class, we wear 2 hats.  The first hat is the teacher.  I will welcome everyone, introduce myself, break the ice and share a little bit about the class format.  It is important to encourage everyone to be themselves and we share a few stories that will make them feel more comfortable.  One good one is over 60% of the people in our classes haven’t painted since the 4th grade – so don’t worry!  I review the supplies and break down the process.  Those detailed oriented participants will appreciate the insight.

  7. The second hat I wear is the entertainer.  Believe it or not, we are not going to crack jokes, and there won’t ever be the ackward silence of ‘ what’s going to happen next’.  Our No. 1 focus for these classes is to keep your group engaged and give them an opportunity to emerse themselves in the experience.  We will remind them to breathe, not take themselves to seriously. 

    You will notice quickly our style of entertaining is to not entertain at all.  It is to monitor their experience in a way they feel supported, the process is easy and they can laugh and chat with their team along the way.   

    Our format has worked well for 100’s of classes for classes BIG and SMALL because we are focused on your people.  Yes, they are the most important part.  ( It isn’t the quality of the painting ).

How can we help you?

Scheduling a Paint and Sip Class

To get the process started, please fill out the following contact form to get in touch with us.  In the form, we ask for an estimated timeframe.  If you don’t know yet, you can pick a tentative date.  You are not locked down to that day.  

Once you have submitted the form, we will get back to you within 24 hours – typically in 1-2 hours – to say hello and send you more information. 

As the coordinator, you will be reviewing the group’s team calendar to find a good day and time.  If you find a few days and times, send us what options may work for the team.  From there, we can confirm our availability.   Most of our team classes are held Monday through Friday between 8:00am and 7:00pm.  

We service from Vermont to California to Hawaii timezones- and even accommodate our international participants.   We are flexible on start times, so let us know what works best for the team. 

 

Duration of the paint class – typically 1.5 hours – 2 hours.  We have done many classes that are only 1 hour – that’s work too! We know teams have different levels of availability. 

To share, we also have an online booking application available too.  So either fill out the form or use the online booking – either works great.

Deadlines and Timing

  1. Collecting Addresses – Addresses for the paint class are required 2 weeks before the event.  Sometimes, we can allow 7-10 days, based on the location of your team members.   We ship from the northeast, so if you are in the northeast, it will take fewer days to arrive.
  2. Selecting a Painting InspirationWithin 24 hours of the event is acceptable.  If you wish for us to include a printed inspiration in the paint kits, you will need to select the painting before then.  If you haven’t made a decision yet, don’t worry!  We are in good shape as long we know the inspiration the day before the event.  
  3. Mailing the Kits – this is a very similar timeline to collecting the addresses.  I would like to get the paint kits in the mail 2 week before the event.  Shipping at most takes 5-6 business days, based on delays, etc. We use USPS, tracking is always available and we have been impressed with their service over the past 5 years. 

Packages and Costs

We like to K.I.S.S. – keep it simple simple.   Our paint packages start at only $55 per person.  This includes all taxes, shipping and instructor costs. 

From there, we have $5 / pp add-on’s available like easels, aprons, gourmet Vermont organic chocolate.  That allows you to build your package, as you see fit.   If you are interested in a custom quote, contact us for a brief quote. 

Our paint and sip packages include all the supplies participants need and more.  We send 6 custom acyrlic paints – a high quality brand – that holds the pigment and there will be plenty of paint after the party. 

A set of 10 quality brushes are sent.  It is best for them to have an array of sizes and not feel limited on the big to small details.  These brushes will last them years to come.  An 11″ x 14″ canvas board is included, which is durable and easier to use than a canvas frame.  We also have plastic palettes and other items available!

Shipping Details

What are the shipping costs for our private instructor led paint class?   The cost is FREE for any participants in the US.  
Our packages are shipping from New England – East Coast.  Delivery estimates are 2-5 business typically.  In December, we  see 5-7 days at most across the country, but it has been less.    We have supplies on hand ready to ship.  So, if you are planning event quickly, we can likely accommodate your needs.  

If I have international team members, how much does shipping cost?  We list a lot of shipping info here in our FAQs, but a quick overview below: 
– USPS First Class Priority – Runs $30-$45 per package – 2 – 4 week arrival
– USPS Priority – Runs $70 – $85 per package – 2-3 week arrival
– USPS Global Express – Starts at $120 per package usually. 

All of these rates are subject to change.  We ship to Canada, UK, Japan, Netherlands often with no problems.  The only country we have had problems with is Brazil for awareness.  There is a very high inbound tax per package of $40 per kit.

Instructor Fees

There are $0 in fees for a private instructor.  Yes, you don’t have to pay any additional fee here.  Simplicity at its best.

Taxes and Other Fees

We take care of all taxes and roll it into our per person cost.  We know what it is like planning events and you have a per person head count budget.  We roll all the costs into a single per person to make it EASIER for you.  The only thing we don’t include is gratuity, but that is optional. 

Selecting the Painting Inspiration

We have an inspiration board with 1000’s of ideas to get you started.  Many of our most popular ideas are landscapes, flowers, nature, abstract scenes, pets, waterfalls, mountains, beach destinations, coastal, boats and more. 

If you need help selecting 2-3 to share with your group, we can do that if you have a theme in mind.
