How to plan a crowd-pleasing paint and sip event?

Did you know that art is a form for therapy?  and people love it.  We have had executive-level men and women say – Do you offer therapy?  Painting participants feel it and really enjoy the creative process. 

Our creative experience, similar to art therapy, increases self-awareness and allows them to explore their own ability through painting.  Our classes are design to inflict positivity and encouragement, which decreases stress and anxiety.   Whether your team members have painted before or not, our classes allow them to practice and embrace their own creative expression.   Pretty amazing for a team building event!

Find the right partner

All paint and sip companies are not equal.  The quality of instructors, the format of the classes and the quality of the paint kits.  We are incredibly proud to offer a high quality paint packages and provide premium fun and engaging art instruction.

Lock in a date - then is all gets easier!

Whether you have a group of 15 or 60 – we all know coordinating a date is likely the hardest part.  Wednesday –  Fridays are the most popular dates for classes.  You can pick morning or afternoon.   Identify 1-2 dates and times and contact us to check our availability.  Once a date and time is confirmed, send out an invite to your team, as a Save The Date.  That allows them to HOLD the day and time and you have secured it on with us. 

We do request a $200 deposit to reserve the date and time, which we can change the date in the future if something shifts.  It is better to reserve something upfront, so another company or team doesn’t snag the date.    Many paint and sip companies will charge 50% upfront, but we don’t think it is necessary.

Planning - Who is coming?

Next steps. Who is coming?  You may have just one team in mind.  Sometimes one small team evolves into a larger group.  Say Account Managers, invite customer service and project managers.  These employees may work all together and it is a great way for them to do something fun and different from their everyday roles together.  This has been incredibly successful for our painting classes. 

Come up with a list and send them the invite.  This will help you identify the total head count.  You. can work with us to determine the final headcount before the packages need to be mailed.  We have a section below that talks about milestones and dates, don’t worry – we can help you with that How to, as well. 

Gathering Addresses

Then, now that you have the total headcount – or close – you can start to gather the addresses for the future painters.  We need the first name, last name, address, city, state, zip for each team member.  We have a CSV template you can use to input the information if it is helpful.  If you don’t have readily access to the employee information, we can provide you a form for all team members to share their addresses with us directly.  Sometimes that is helpful for you to not hunt it down.  In other instances, professionals like yourself can find it pretty quickly.    Let us know how we can help. 

What are you going to paint? We can help.

This is the fun part.  The world is our oyster.  I have a full inspiration board available for you to review and let me know what catches your eye.  You could select a theme that is seasonal, outdoors, landscape, flowers, marine-inspired, abstract and more.   If you are feeling overwhelmed, don’t stress.  We can provide you 3-4 popular ideas to choose from. 

Shipments and Milestone Dates

Once we have the addresses, we will get the paint kits in the mail, as soon as possible.  The latest we send our paint kits is 7 business days before the event, but we do like to get them out sooner.  Here are a few milestone dates we will share with you, based on your selected day and time. 

 

  • Deposit Due By – As soon as possible
  • Addresses Due By – 10 business days before event date
  • Total Head Count Due By – 10 business days before event date
  • Final Payment Due By – 10 business days before event date
  • Inspiration Selection – There is no rush.  If you select the inspiration before the packages are mailed, we can included a printed copy.  Otherwise, we can share an electronic version at the beginning of the class.

Put your feet up - you are pretty much done

Get that class of wine ready.  You have done all the heavy lifting.  Finding the date and gathering the addresses has been your biggest responsibilities.  We help with all the rest of the details. 

What to expect on the event day?

We first partner and confirm what virtual connect platform to use for the class.  I can easily create a Zoom connect, but if your team wants to use another platform, that’s works for me.  All I need is to show my video, no other heavy lifting required.  It is very straight forward. 

In addition to the painting kits the team has received, they will also need: a cup of water to rinse their brushes, a small plate to mix their paint colors and a paper towel for any messes. 

I will be available to join the meeting 10 minute early if that is helpful to test the connection and answer any questions!  That is it.
